Docspell vs Gem

Docspell is an AGPLv3+ self-hosted DMS built around automated document ingestion: OCR on scanned files, NLP that extracts correspondent, date, and tags, full-text search via Apache Solr or PostgreSQL, mailbox/email import, an addon system, custom fields/folders/notes, multi-user with 2FA, REST API, bookmarks, auto-tagging, link sharing, and a JOEX background job queue. Its integrations are infrastructure-flavored — ClamAV, Solr, PostgreSQL, Nix/NixOS, Docker, Kubernetes, Raspberry Pi, Emacs, Exim SMTP — and it explicitly is not for chatting with documents or native mobile apps.

Gem is the opposite category entirely: a recruiting ATS/CRM with AI agents across the pipeline. The Sourcing Agent searches 800M+ profiles; App Review Agent scores inbound applications before a recruiter opens a resume; Fraud Detection Agent flags suspicious applications via multiple signals; Talent Rediscovery Agent resurfaces past candidates from your CRM/ATS. It also bundles multi-channel outreach, email-finding, an ATS with requisition/job posting to 100+ boards/offer management, self-scheduling, interviewer load balancing, Talent Compass analytics, and bi-directional sync with Greenhouse, Workday, Lever, and iCIMS. Gem's June 2025 GeMCP launch connects Claude and ChatGPT to Gem for recruiting answers.

There is no overlapping capability here: Docspell parses PDFs and emails; Gem ranks people and manages hiring pipelines. A buyer would never shortlist both.

The pricing structures don't compare. Docspell is free and open source (AGPLv3+); your real costs are the infrastructure and labor to run it — a server, PostgreSQL or Solr, ClamAV, container orchestration (Docker/Kubernetes supported), and configuration time. It lists no paid tiers, no per-seat fees, and no official support contracts (it explicitly isn't for enterprises requiring paid support).

Gem is freemium: startups under 30 employees can apply for free early access through its Startup Program, but the main platform paths are custom-priced through a sales conversation — which its own "not for" list flags as a friction point for teams unwilling to have that call. Gem positions the consolidation value at roughly 30–50% recruiting tech cost reduction when teams replace five or more point tools. That's a fundamentally different money model: Docspell trades dollars for sysadmin effort at near-zero software cost; Gem trades software cost for a managed, AI-heavy platform. You cannot meaningfully stack these budgets against each other because the buyers and budget lines — IT/self-hosting vs. talent acquisition — are unrelated.
