Microsoft OneNote

OneNote's core bet is the open canvas. Pages accept typed text, images, embedded files, digital ink, and recordings in any arrangement, and ink is searchable, which is unusual among mainstream note apps. Voice transcription turns a recorded lecture or meeting into reviewable text you can work through later, and Copilot Notebooks go further by reasoning over the content you add to a notebook — including insights drawn from your files and email — and producing audio overviews so you can absorb a notebook without reading every page. Sticky Notes add a light second surface for quick capture with automatic recall when you revisit the same source. Collaboration is well covered: shared notebooks, real-time co-authoring, and integration with Outlook, Teams, To Do, OneDrive, and SharePoint mean the notebook sits inside the workflow most Microsoft 365 organizations already have. The honest weaknesses: the free-form structure degrades into a mess without disciplined section and tag hygiene — nothing forces structure the way a database does. Teams that need relational data, kanban, timelines, or a published wiki will end up pairing OneNote with something else. Storage on the free tier is 5 GB of OneDrive, which fills quickly once you store images, audio, and clippings; section password protection is limited to Windows and Mac rather than mobile and web. Treat OneNote as the capture layer and a separate tool as the system of record — that division is where it performs best.
